Why coating and PPF jobs need records after delivery

A ceramic coating or PPF job does not end when the car leaves the studio. The customer has a warranty, the coating needs maintenance visits, and the film may need a check if it lifts, yellows or peels. That means the studio needs a clear record of what was applied and what the customer must do next.

A normal wash or polish is finished the day the car is delivered. A ceramic coating or PPF job is different. The customer is buying protection that should last two, five or even ten years, and that promise only holds if the studio remembers what it applied.

For example, a customer in DHA Lahore gets full-front PPF on a Honda Civic and a 3-year ceramic coating on the rest of the body. Eight months later he sends a WhatsApp message: the film on the bonnet edge is lifting. The studio now needs to answer three questions quickly. Which film was used? Is the bonnet edge covered under warranty? When was the car last inspected?

If those answers are in a record, the studio fixes the edge and keeps a happy customer. If they are buried in a notebook or an old chat, the conversation turns into an argument.

Where studios lose money: notebooks and WhatsApp chats

Most detailing and PPF studios in Pakistan track their jobs in a register, on loose warranty slips, or inside WhatsApp chats with each customer. This works when the studio does a few coatings a month. It breaks down once dozens of cars carry active warranties.

Warranty disputes. A customer claims the whole car was covered, but the studio only applied PPF to the front bumper and headlights. Without a signed record of panels covered, the studio either repairs work it never sold or loses the customer.

Missed maintenance visits. Many coating warranties require a maintenance wash or top-up every 6 or 12 months. If nobody reminds the customer, he skips the visit, the coating fades, and he blames the product. The studio also loses paid maintenance work.

Lost repeat business. A happy coating customer is the easiest person to sell a PPF upgrade, interior coating or second car to. But if the studio never contacts him after delivery, he goes to whichever studio he sees next on Instagram.

Chats that cannot be searched. WhatsApp is good for talking to customers, but it is a poor database. Finding which customers had a 5-year coating in March means scrolling through hundreds of chats, and the record is lost if the phone is changed or the staff member leaves. For broader workshop paper records, see the car workshop job card guide.

What to record for every coating or PPF job

The record does not need to be long. It needs the same fields for every car, so anyone at the studio can answer a warranty question in seconds.

check_circleWarranty card number and date of application
check_circleCustomer name and WhatsApp number
check_circleMake, model, year, colour, registration and odometer
check_circlePaint condition before work
check_circleService type and product brand
check_circleCoating layers, film type, batch or roll number
check_circlePanels covered and paint correction completed
check_circleWarranty period, expiry date and exclusions
check_circleMaintenance interval, visit log and next due date
check_circleTechnician, customer signature and studio stamp

The next maintenance date is the most important field. It is the one that turns a one-time job into a returning customer.

How maintenance reminders bring customers back

A coating customer has already trusted your studio with an expensive job. A short, well-timed WhatsApp message is often all it takes to get him back for maintenance, and every visit is a chance to sell the next service.

  1. Day 7 after delivery: check that the customer is happy and remind him not to use an automatic car wash.
  2. One week before each maintenance date: send the reminder and offer two time slots.
  3. On the maintenance visit: inspect the coating or film, record it on the card, and set the next date.
  4. Two months before warranty expiry: offer a renewal coating or a PPF upgrade.

Assalam o Alaikum Ahmed sahab, your Honda Civic's ceramic coating maintenance is due on 15 September. The visit takes about 2 hours and keeps your warranty active. Would Saturday 11 am or Monday 3 pm suit you?

Example WhatsApp reminder

Reminders work because the customer sees them as care, not selling. They also protect the studio: if a customer skips the maintenance visits that the warranty requires, the card and the sent reminders show it clearly.

The card is a printable A4 page with two halves. The top half is the customer's warranty copy, with vehicle, product, panels covered and warranty terms. The bottom half is the maintenance log, with rows for each visit and the next due date.

Print two copies per job: one for the customer's glovebox and one for the studio file. You can also send a photo of the filled card to the customer on WhatsApp, so it is always in his chat.

How MotorDesk tracks coatings, warranties and follow-ups

A paper card is a good start, but a growing studio needs records it can search. MotorDesk keeps each customer, vehicle and job in one place, so the studio does not depend on a register or one person's phone.

When a customer messages about his Civic, the team can open the vehicle history and see the coating or film applied, the panels covered, previous visits and payments. Upcoming maintenance dates and follow-ups can be tracked from one dashboard instead of scrolling through chats.

For a studio doing many PPF and coating jobs a month, this means fewer warranty arguments, more maintenance visits, and a clear list of customers to contact for renewals and upgrades.

FAQ

How long does a ceramic coating or PPF warranty last in Pakistan?

expand_more

It depends on the product and the studio. Coatings are commonly sold with 1 to 5 year warranties, and PPF often carries longer ones. Always write the exact period and expiry date on the card.

Should the customer sign the warranty card?

expand_more

Yes. A signature confirms the panels covered, the warranty terms and the maintenance conditions. It prevents disputes later about what was promised.

What happens if a customer misses a maintenance visit?

expand_more

That depends on your studio warranty policy. Whatever your rule is, write it on the card and remind the customer before each due date, so the condition is clear to both sides.

Can I send the warranty card on WhatsApp?

expand_more

Yes. Send a clear photo or PDF of the filled card after handover. The customer then has it in his chat, and you have proof it was shared.

Does this card work for interior and glass coatings too?

expand_more

Yes. Tick the service type, note the surfaces treated, and record the product and warranty period the same way.
