This guide covers what an Irish detailing or valeting studio should look for in booking and customer management in 2026: online bookings, deposits and no-shows, packages, repeat-customer reminders, and invoicing in euros with VAT.
Why phone, DM and paper-diary bookings cost studios money
A customer in Lucan sends an Instagram DM on Sunday night asking about a full valet for his Golf. Nobody replies until Tuesday, and by then he has booked somewhere else. That lost booking never shows up in any report, but it happens every week.
- Slow replies. Customers expect to book in the evening or at weekends, when the studio is closed or the team is working on cars.
- Double bookings and gaps. A diary on the wall or in one phone does not show the real time each job needs, so some days are overloaded and others half empty.
- No-shows. A booked slot for a 6-hour paint correction that nobody turns up for is a lost day's revenue.
- No customer history. When a regular rings, the team cannot see what was done last time, which package he had, or what he paid.
- Late or messy invoices. Handwritten receipts or invoices made at the end of the month create problems for VAT returns and fleet customers.
None of this needs a big system to fix. It needs bookings, customers, packages and invoices in one place.
Online bookings: what a good booking flow needs
An online booking page should let a customer pick a service, see real availability and confirm in under two minutes, from a phone.
- Service-based time slots. A mini valet might take 1 hour and a ceramic coating 2 days.
- Vehicle size options. Small car, saloon, SUV and van pricing, so the customer sees the right price before booking.
- Bay or staff capacity. If you have two bays and three detailers, the system should stop you taking a fourth job at 9 am.
- One link for every channel. The same booking link in your Instagram bio, Google Business Profile, Facebook page and WhatsApp replies.
- Automatic confirmations. An email or SMS confirmation with the address, drop-off time and what to remove from the car.
- Manual bookings too. Phone and walk-in bookings go into the same calendar, so there is only one source of truth.
The goal is simple: a customer who finds you at 10 pm on a Sunday can book without waiting for a reply.
Deposits and no-shows: policies that work
A deposit is the most effective way to cut no-shows on long jobs. Customers who have paid something upfront turn up, or they give notice.
| Job type | Typical deposit | Cancellation notice |
|---|---|---|
| Mini or standard valet (under 2 hours) | None, or card on file | 24 hours |
| Full valet or interior deep clean | €20–€30 | 24–48 hours |
| Machine polish or paint correction | 20–30% of the price | 48 hours |
| Ceramic coating or PPF | 25–50% of the price | 72 hours |
These figures are examples, not rules. Set the deposit at a level that covers the time you would lose if the bay sits empty.
- Card payment of the deposit at the time of booking
- The deposit shown automatically on the final invoice
- A written cancellation policy the customer accepts when booking
- Automatic reminders 24 to 48 hours before the appointment, with an easy reschedule link
Reminders alone remove many no-shows, because most missed bookings are forgotten, not cancelled on purpose.
Valeting and detailing packages: help customers book the right one
Clear packages make booking faster and reduce arguments at collection. When a customer books "a valet", the studio and the customer should mean the same thing.
- Mini valet: exterior hand wash, wheels, windows, quick interior vacuum.
- Full valet: everything in the mini valet, plus full interior vacuum, dashboard and trims, door shuts and tyre dressing.
- Interior deep clean: upholstery shampoo, leather clean and condition, stain and odour treatment.
- Enhancement detail: decontamination, clay bar, one-step machine polish and sealant.
- Paint correction and protection: multi-stage polish, ceramic coating or PPF.
Your software should handle package pricing, vehicle sizes, add-ons, maintenance plans, and separate time and price for each item on the job.
Repeat-customer reminders: the cheapest bookings you will get
A customer who has already used your studio is far easier to rebook than a new one found through ads. Most studios lose them simply because nobody follows up.
- Valet due: 6 to 8 weeks after a full valet.
- Coating maintenance: every 3 to 6 months for ceramic-coated cars, depending on the product.
- Seasonal: before winter for underbody wash and sealant, and in spring after salt and grit season.
- NCT or sale prep: an interior and exterior refresh before the car is sold or traded in.
- Review request: a day after collection, with a direct link to your Google reviews.
Hi Sarah, it's been 8 weeks since your Audi A4's full valet with us. Spaces are filling up before Christmas. Book your next valet here: [link]. Reply STOP to opt out.
Example reminder
Hi Conor, your Model 3's coating is due its 6-month maintenance wash. It keeps the coating performing and the warranty valid. Pick a time here: [link].

Under GDPR, keep marketing reminders separate from service messages, record consent, and include an easy opt-out.
Invoicing in euros with VAT
Fleet customers, dealerships and company-car drivers need proper VAT invoices, and your accountant needs clean records for each VAT return.
- VAT registration threshold. A business supplying services must register once turnover passes €42,500 a year (€85,000 for goods). These thresholds apply from 1 January 2025.
- Rate for valeting. Revenue lists car washing, including hand washing, valeting, cleaning and polishing, under the reduced rate, which is 13.5%.
- Products are different. Retail sales of car care products, such as shampoo or air fresheners, are normally at the 23% standard rate.
- Coatings and PPF. Check the correct rate for coating and film work with your accountant, as it may not be treated the same as valeting.
A VAT invoice should show business and customer details, invoice number, date, service descriptions, price before VAT, VAT rate, VAT amount, total in euros, and any deposit already paid.
This section is general information, not tax advice. Rates and thresholds can change, so check Revenue or your accountant.
Checklist: what to look for in detailing software in 2026

You may not need every item on day one. Bookings, deposits, reminders and invoices usually make the biggest difference first.
How MotorDesk fits
MotorDesk is Deviorin's management software for workshops and detailing studios. It keeps customers, vehicles, jobs, packages and invoices in one place, so the studio does not depend on a paper diary or one person's phone.
When a regular customer gets in touch, the team can see his vehicle history, past packages and payments. Follow-ups and repeat visits can be tracked from one dashboard instead of scrolling through DMs.

FAQ
Do I need booking software if I only have one bay?
expand_more
Not always, but even a one-bay studio loses bookings to slow replies and no-shows. An online booking link and automatic reminders are usually worth it once you take more than 15 to 20 bookings a week.
Is it legal to charge a deposit for a valet?
expand_more
Yes, as long as the deposit amount and cancellation terms are clear to the customer before he books. Keep the policy written on your booking page and confirmation message.
What VAT rate applies to car valeting in Ireland?
expand_more
Revenue treats car washing and valeting under the reduced rate (13.5%). Products sold separately are usually at 23%. Confirm your own services with your accountant.
Do I have to register for VAT?
expand_more
Only once your turnover passes the threshold, currently €42,500 for services. Below that, registration is optional.
Can I still take bookings by phone and Instagram?
expand_more
Yes. A good system lets staff add phone, walk-in and DM bookings to the same calendar, so nothing is double-booked.
